Getting Started with Call Completion Automation (Voicemail Drop)
Enquire MAP's chrome extension provides some great outbound call capabilities. To ensure making the best use of sales time, Enquire MAP provides some nice call completion automation. When the User is about to complete the call, save time by executing one of the pre-configured call completion automation templates. For example:
- Drop a voicemail if an answering machine intercepts the call
- Send a follow up email if unable to connect
- Send a tracked SMS with some additional information for the prospect
How does it work?
When making an outbound call using Enquire MAP's Chrome extension, automatic messaging/voicemail can be set up to drop which will be triggered when ending the call. Simply create (and then choose from) the following call completion automation combinations:
- Voicemail Drop + SMS message template
- Voicemail Drop + Email message template
- SMS message template only
- Email template only
Please Note: The templates are created and managed in the Enquire MAP account and are triggered from the Enquire MAP Chrome extension.
What is a voicemail drop?
If making a call and get the contact's voicemail, simply end the call and let Enquire MAP leave the voicemail! The User can go onto the next call while Enquire MAP 'drops' uses one of the pre-recorded voicemails into the various prospect voicemails.
Setting it up in Enquire MAP
- Create the call completion templates, by navigating to the User's profile in Enquire MAP
- Browse to call completion automation, click New
- Choose if you want to automatically send a message
Please Note: If without an IMAP connection configured on the User profile, all automated emails sent using call completion automation will be sent using Enquire MAP. This implies that any emails sent will NOT be recorded on the email server. We recommend setting up the IMAP connection.
Whether choosing SMS or Email as an automatic send, the User will utilize dynamic fields that pull from the contact's data. All links will be tracked and the email as well will have open tracking/link click tracking (and reply tracking if configured).
Voicemail Drop Configuration
If using the dialer (Chrome Extension) to make a call, and a voicemail prompt is received, "Leave your message after the tone", when hearing the tone the User can execute a call completion template that has an attached VM recording. This enables ending the call to let Enquire MAP play the pre-recorded message while the User types a follow up email/ SMS. To configure the voicemail drop, simply record a message (MP3) on the User's computer to upload the recording into the Enquire MAP call completion template.
Using Call Completion Automation
Once all of the call completion automation templates are configured, the templates are accessible via the Chrome Extension. Once the User has a phone number entered:
- Click the Dial button
The dial pad buttons will change, and the templates are accessible by clicking the Voicemail icon
- If clicking the call completion automation button (Voicemail icon), the list of automation templates will be listed:
This indicates a template that has a Voicemail and an Email Template. When clicking this icon, the call will be disconnected from the headset and an email editor will display with the email template for editing. The pre-recorded voicemail will be payed into the contact's voice mail box.
This indicates a template that has a Voicemail and an SMS Template. When clicking this icon, the call will be disconnected from the headset and an SMS editor will display with the SMS template for editing. The pre-recorded voicemail will be payed into the contact's voice mail box.
This indicates a template that has only an SMS Template. When clicking this icon, the call will be ended and the SMS editor will display with the SMS template for editing.
This indicates a template that has only an Email Template. When clicking this icon, the call will be ended and the Email editor will display with the email template for editing.
Please Note: When instantiating a call completion template that includes a voicemail, the pre-recorded message will start playing on the connected call immediately. Even though the call is disconnected from the ongoing call, the call continues while the pre-recorded message is played. Once the pre-recorded message has completed playing, the call will be terminated. It is important to wait until hearing the 'tone' before executing the automation.
